1. Overview

Guestwork is a guest intelligence platform for campground operators. This policy describes how Def Co. LLC (“we,” “us,” or “our”) collects, uses, stores, and protects data in connection with the Guestwork platform (“Service”). Guestwork is a business-to-business service — we do not interact directly with campground guests.

2. Data We Collect

From campground operators (our customers):

Name, email address, and account credentials
Property configuration and settings

From connected data sources on behalf of operators:

Guest review data including guest names, review text, star ratings, NPS scores, and survey dates, sourced from Kampsight Rate Your Stay
Reservation data including arrival/departure dates, site numbers, site types, length of stay, and zip code
Review data from Google Business Profile and Facebook/Meta Business Suite, where operators have authorized these connections
Staff names and scheduling data where operators have connected Sling or similar integrations

Automatically collected:

Usage logs, session data, and authentication records

3. Data We Do Not Collect

We do not collect or store campground guest phone numbers, street addresses, payment information, or government identification. We do not collect personal data directly from campground guests — all guest data enters Guestwork through operator-controlled integrations.

4. How We Use Data

We use collected data solely to:

Provide and operate the Guestwork platform for authorized operators
Generate analytics, sentiment analysis, and operational insights for campground operators
Power AI-assisted features via Anthropic’s Claude API (review text and operational data may be transmitted to Anthropic to generate responses — see Section 6)
Maintain platform security and prevent unauthorized access

We do not sell data to third parties. We do not use guest data for advertising purposes.

5. Data Storage and Security

All data is stored in Google Cloud Platform infrastructure located in the United States (region: us-west1). Authentication and user account data is stored via Supabase. We implement industry-standard security practices including encrypted data transmission, access controls, and authentication requirements.

6. Third-Party Services

Guestwork integrates with the following third-party services:

Anthropic — Review text and operational data may be transmitted to Anthropic’s API to power Flint, Guestwork’s AI assistant. Anthropic’s privacy policy applies to data processed through their API.
Google Cloud Platform — Infrastructure and data storage provider.
Supabase — Authentication and application database provider.
Kampsight — Source of NPS survey and reservation data. Operators authorize this connection.
Google Business Profile — Where authorized by operators, we access review data via Google’s API.
Meta (Facebook) — Where authorized by operators, we access review data via Meta’s Graph API.

7. Data Retention

We retain operator and guest data for the duration of the operator’s active subscription plus 90 days following termination, during which operators may request a data export. After 90 days, data associated with terminated accounts is permanently deleted.

8. Operator Responsibilities

Operators are responsible for ensuring they have appropriate authorization to connect data sources and share guest data with Guestwork. Operators who connect Google, Meta, or other third-party review platforms represent that they are authorized account holders for those platforms.

9. Your Rights

Operators may request access to, correction of, or deletion of their account data at any time by contacting us at the address below. Requests related to individual campground guest data should be directed to the campground operator, who is the data controller for guest information.

10. Changes to This Policy

We may update this policy as the platform evolves. Material changes will be communicated to active operators via email. Continued use of the platform following notification constitutes acceptance of the updated policy.
